Your Resume Gets Rejected in 6 Seconds. Here’s the Fix.

Your Resume Gets Rejected in 6 Seconds. Here's the Fix. — Sandeep Anand, Career Coach

“Your resume doesn’t need to impress everyone. It needs to survive two very fast filters — a piece of software, then a tired recruiter with 200 more resumes to get through. Almost every rejection happens at one of those two moments, not later.” — Sandeep Anand

If you’ve sent out dozens of applications with barely a response, the most common explanation isn’t that you’re unqualified. It’s that your resume never survived the first two filters standing between you and a human decision-maker — filters that operate identically whether you’re applying in Chicago, Birmingham, or Gurugram.

Filter One: The ATS Never Reads It the Way You See It

Most mid-to-large companies across the US, UK, and India route every application through an Applicant Tracking System before anyone opens it manually. This software parses your resume into plain text and scores that text against the job description. The problem: many well-designed resumes parse badly. Tables scramble. Multi-column layouts read left-to-right instead of top-to-bottom, mixing unrelated content. Text inside headers, footers, or graphics often gets skipped entirely.

A resume can fail this filter while genuinely belonging to a qualified candidate — the software never sees the qualifications, because it never correctly extracted them.

Filter Two: The 6-Second Human Scan

If your resume survives the ATS, it lands in front of a person who, according to multiple recruiter time-tracking studies, spends an average of just 6-7 seconds deciding whether to read further. In that window, a recruiter is scanning for three things: does the most recent job title roughly match, does the years of experience roughly fit, and is there anything in the top third of the page that stands out.

Fix 01 — Structure for the machine

Strip anything an ATS parser can’t reliably read

  • Use a single-column layout — no tables, no text boxes, no multi-column sections
  • Remove graphics, icons, and photos; they add zero parsing value and can break section detection
  • Use standard section headings the parser recognises: “Experience,” “Education,” “Skills” — not creative renamings
  • Keep contact information and key content in the body text, never in a header or footer field
Fix 02 — Structure for the human

Win the first 6 seconds deliberately

  • Put a one-line headline directly under your name that states your target role, not your current title
  • Lead your most recent role with your single strongest, most quantified achievement — not your job description
  • Mirror 4-6 exact keywords from the target job description in your skills and experience sections
  • Cut anything older than 10-12 years unless it’s directly relevant — recruiters scan top-down and rarely reach the bottom

Your LinkedIn Has the Same Two Filters

Recruiters in the US, UK, and India increasingly search LinkedIn directly using keyword filters before a job is even publicly posted — meaning an unoptimised profile can make a strong candidate simply invisible to inbound searches. Your headline and About section carry the most search weight in these filters, and both should reflect your target role’s language, not just restate your current job title.

Case study — Vikram, Business Analyst, Chicago (relocated from Hyderabad)
“I had a beautifully designed two-column resume that I was genuinely proud of. A recruiter friend ran it through a free ATS checker for me and half my experience section came back blank — the parser had completely lost it in the second column. I rebuilt it as a plain single-column document and started getting callbacks within the same week. The content hadn’t changed at all. Only the format had.”

Copy your resume text into a plain text editor — if it reads scrambled or out of order, an ATS likely sees it the same way

Remove all tables, columns, graphics, and header/footer content

Add a target-role headline directly under your name

Rewrite your top bullet under your most recent role to lead with a number

Update your LinkedIn headline and About section to mirror your target role’s language

Frequently Asked Questions

Why does my resume get rejected before anyone reads it?

Most companies in the US, UK, and India route applications through an Applicant Tracking System (ATS) that parses your resume’s text and scores it against the job description before a human ever opens it. Resumes formatted with tables, columns, graphics, or headers/footers often fail to parse correctly, causing qualified candidates to be filtered out purely on formatting rather than fit. A resume can be rejected by this layer even when the candidate is genuinely qualified.

How long do recruiters actually spend looking at a resume?

Multiple recruiter studies across the US, UK, and India put the average initial resume scan at roughly 6-7 seconds, during which a recruiter is scanning for job title match, years of experience, and a small number of standout keywords or achievements. This makes the top third of a resume, particularly the headline and first bullet under the most recent role, disproportionately important compared to content further down the page.

What resume format is safest for ATS software?

A single-column, standard-fonts, .docx or simple PDF resume with clearly labelled standard section headings (Experience, Education, Skills) parses most reliably across ATS platforms. Avoid text boxes, tables, multi-column layouts, graphics, icons, and headers or footers containing key information, since many ATS parsers either skip these elements entirely or scramble their order when converting the file to plain text.

Does LinkedIn optimization matter as much as the resume itself?

Yes — in the US, UK, and India alike, recruiters routinely search LinkedIn directly using keyword filters before a candidate ever applies anywhere, meaning an unoptimised LinkedIn profile can cause a candidate to be invisible to inbound recruiter searches entirely. The headline and About section carry the most search weight, and both should mirror the specific role titles and skills a candidate is targeting, not just their current job title.

Is a resume format different for the US, UK, and India job markets?

The core ATS-compatibility rules are the same across all three markets, since most companies use similar ATS platforms globally. Minor conventions differ: UK CVs sometimes run slightly longer and may include a brief personal statement, US resumes are typically kept to one page for early-to-mid career roles and omit personal details like age or photo, and India’s market often expects a slightly more detailed education section including specific universities and grades. The underlying formatting and keyword-matching rules apply universally.
