It’s a keyword-matching filter, not a judge of quality

  • Most US and UK employers use platforms like Workday, Greenhouse, Taleo, or iCIMS to rank applicants against the job description’s language
  • The system scores you on keyword overlap, formatting parseability, and sometimes years-of-experience matching — not on how impressive your career actually is
  • A recruiter typically only sees candidates who clear a minimum match score, often the top 20–25% of applicants by that score

Formatting can break parsing even when content is strong

  • Tables, text boxes, columns, headers/footers, and graphics frequently parse as blank or garbled text in older ATS platforms still common in mid-size US and UK firms
  • Non-standard section headers (“Where I’ve Made Impact” instead of “Experience”) can cause the system to miss entire sections
  • Saving as an image-based PDF or using an unusual font can result in a resume that reads as literally empty to the parser

The 4-Step ATS Fix

Step 01 — This Week

Rebuild for parseability first, design second

  • Use a single-column layout with standard section headers: Experience, Education, Skills
  • Save and submit as a .docx unless the application explicitly requests PDF — many US and UK ATS platforms parse Word files more reliably
  • Remove tables, text boxes, headers/footers, and embedded graphics entirely
Step 02 — Per Application

Mirror the job description’s exact language

  • Pull 8–12 keywords directly from the job posting — tools and skills, not soft-skill adjectives — and use the same phrasing the posting uses
  • If the posting says “stakeholder management” and you wrote “working with stakeholders,” the system may not credit the match
  • Mirror seniority language too: if they say “Senior,” don’t rely on “Lead” to imply the same level
Step 03 — Structural

Quantify every bullet you can

  • US and UK hiring managers respond to numbers far more than adjectives — “reduced processing time by 34%” beats “improved efficiency” every time
  • Where you don’t have a hard metric, use scale: team size, budget, number of stakeholders, geographic scope
Step 04 — Verification

Test before you submit at scale

  • Copy your resume text into a plain text editor — if it reads as a jumbled mess, the ATS likely sees the same thing
  • Have someone unfamiliar with your role read it cold and tell you, in one sentence, what you do — if they can’t, a recruiter skimming for 6 seconds definitely can’t

Why does my resume get rejected by ATS software in the US or UK?

Most rejections come from parsing failures (tables, columns, or graphics the software can’t read correctly) or from weak keyword overlap with the job description. The system is not judging your career — it’s scoring text-matching, so formatting and phrasing matter as much as your actual experience.

Should I submit my resume as a PDF or Word document?

Unless the application explicitly requests PDF, submit as .docx. Many mid-size and legacy ATS platforms still used across the US and UK parse Word files more reliably than PDFs, especially PDFs exported with unusual fonts or design templates.

How many keywords from the job description should I include?

Aim for 8–12 specific keywords pulled directly from the posting — tools, skills, and seniority terms — using the same phrasing the employer used rather than a synonym. This should be done per application, not once for a generic resume.

Does resume length matter for US and UK applications?

US resumes are typically expected at one page for under 10 years of experience and up to two pages beyond that. UK CVs are more commonly two pages regardless of seniority. Either way, length matters less than parseable structure and keyword match.

Can a good resume alone guarantee interviews?
